About the Service & Basic Use
Q 1. What exactly does this service do?
Ans. 1 We automate the entire monthly progress photo process. From the moment a photo is taken on site, our system captures the GPS location, date, time, and a description. It then organizes the photos, tracks which have been approved or rejected by the Project Manager, and helps compile the final 60-photo submission with an auto-generated location plan.
Q 2. How do my site photographers submit photos?
Ans. 2 They simply use a custom Google Form on their mobile phone. The form includes fields for uploading the photo, selecting the location, and adding a brief description. The GPS is captured automatically.
Q 3. How much does it cost?
Ans. 3 We offer flexible, transparent pricing. Please visit our Pricing page or Contact Us for a detailed quote based on your project's duration and volume.
Q 4. Is there a long-term contract?
Ans. 4 No. We offer month-to-month plans, with discounted rates for 6-month or 12-month commitments. A one-time setup fee applies for new projects.
Workflow & PM Review
Q 5. How does the Project Manager (PM) review the photos?
Ans. 5 The PM is given access to a shared "Contractor Sheet" (a Google Sheet). Here, they can instantly see all draft photos, read the descriptions, and mark each photo as "Accepted" or "Rejected" with a comment. No email attachments or spreadsheets to download.
Q 6. What happens to a rejected photos
Ans. 6 Rejected photos remain visible in the sheet with the PM's comment. This creates a transparent feedback loop. The contractor can learn from the rejection and improve future submissions.
Q 7. How do we know when we have reached 60 accepted photos?
Ans. 7 The Contractor Sheet includes a live counter that automatically shows the number of draft, accepted, and rejected photos. You will know the moment you hit 60.
Q 8. What if the PM rejects more than 10 photos one month
Ans. 8 No problem. The system tracks all rejections. You simply continue submitting photos until 60 are accepted. The counter guides you. The deadline for submission is the end of the following month, as per the general requirement.
Technology & Data
Q 9. What software or hardware do we need to install?
Ans. 9 Absolutely nothing. The system uses Google Forms, Google Sheets, and Google Apps Script. If your team has a Google account (e.g., Gmail), they can use it. Most contractors and PMs already use Google Workspace daily.
Q 10. How is the location plan generated?
Ans.10 When the photographer submits the Google Form, the GPS coordinates from their phone are saved. Once 60 photos are accepted, our script automatically plots these coordinates on a Google Map or Google Earth view to create a clear location plan.
Q 11. Is our data safe and private?
Ans.11 Yes. Data is stored in your own Google Drive environment. We use a two-sheet system: a "Submitted Sheet" (raw, read-only) and a "Contractor Sheet" (editable for review). The raw data is protected from accidental changes. We do not store your data on our own servers.
Q 12. What if we have poor internet connection on site?
Ans.12 Our Google Form does not require a constant connection. The photographer can fill it out offline, and the data will sync automatically when they are back online. For the Contractor and PM sheets, a reliable connection is recommended for real-time reviewing.
Implementation & Support
Q 13. How long does it take to set up?
Ans.13 Once we sign an agreement, we can have your customized Google Form and Sheets ready for a trial run within 2-3 business days.
Q 14. Do you provide training for our staff?
Ans.14 Yes. All plans include a training session (online or on-site) for photographers, site administrators, and the PM's review team. We also provide a one-page quick reference guide and a short video tutorial.
Q 15. What if we need help during a submission?
Ans.15 Our support team is available by email during business hours (9am-6pm, Mon-Fri). Enterprise plans include phone support and on-site assistance.
Q 16. Can we try before we commit?
Ans.16 We offer a 14-day satisfaction guarantee on the setup fee. We can also arrange a live demo with dummy data so you can test the full workflow before paying.
